SysNurse Community — Legal

Our Privacy Policy, Terms of Use, and the Patient Privacy & Safety Rules every member agrees to. Written in plain language, on purpose.

Last updated: October 14, 2026

1. Privacy Policy

SysNurse Community (“SysNurse,” “we,” “us”) is a private community built for licensed nurses and nursing staff. This policy explains what information we collect, how we use it, and — just as important — what we never do with it.

1.1 What we collect

1.2 How we use it

What we NEVER do:

• We never sell your personal information. Ever.

• We never show your real name publicly. Members see your handle and specialty — your real name stays private.

• We never ask for, collect, or store your employer-system passwords. The Systems hub is a quick-launch directory only — it never asks you to type a password for Epic, PointClickCare, or any other workplace system, and you should never enter one.

• We never share your information with advertisers or data brokers.

1.3 Photo safety

Photos uploaded to SysNurse are re-processed on upload to strip embedded location and device metadata (EXIF/GPS data) before they are shown to other members. This is one layer of protection — it does not make an unsafe photo safe. Always follow the Patient Privacy & Safety Rules in Section 3 before posting any photo.

1.4 Cookies and local storage

SysNurse uses cookies and on-device local storage only for things that make the app work: keeping you signed in, remembering your settings (such as privacy choices and night-shift quiet hours), and basic security. We do not use third-party advertising trackers.

1.5 Deleting your account

You can delete your account at any time from your profile settings in the app, or by emailing us at the address in Section 5. Deleting your account removes your profile and handle from the community. Content you posted may be removed as part of deletion, except where we must keep limited records for safety, legal, or abuse-prevention reasons. Verification records may be retained for a limited period to prevent banned accounts from rejoining under a new name.

1.6 Children

SysNurse is for licensed nursing professionals only. You must be at least 18 years old and hold (or be formally credentialed under) a nursing license or equivalent nursing-staff credential to join. We do not knowingly collect information from children.

1.7 Changes to this policy

If we make material changes to this policy, we will post the updated version here and note it in the app before the changes take effect.

1.8 Privacy questions

Questions about your privacy or your data? Contact us using the information in Section 5.

2. Terms of Use

By creating an account or using SysNurse, you agree to these terms. If you do not agree, please do not use the service.

2.1 Who may join

Membership is limited to licensed nurses and nursing staff — including hospital, long-term care, assisted living, home health, and hospice settings — and to EMS clinicians, including paramedics, EMTs, flight nurses, and flight crews, who complete our license-verification process and are approved. One account per person. Your account and verified status are personal to you and may not be shared or transferred.

2.2 Member responsibilities

2.3 Acceptable use

You agree not to:

2.4 Your content

You keep ownership of the content you post. By posting, you give SysNurse a license to display, store, and distribute that content inside the app to the audience you selected, for as long as it remains posted. You are responsible for everything you post and confirm you have the right to post it.

2.5 Moderation

We may review, move, or remove any content, and may route clinical posts to a moderation queue before they appear. We may warn, suspend, or permanently remove any member who breaks these terms or the safety rules — including for a first offense where patient privacy is involved.

2.6 Account termination

You may close your account at any time (see Section 1.5). We may suspend or terminate accounts that violate these terms, that were obtained with false verification information, or that put patients or members at risk.

2.7 No affiliations

SysNurse is an independent community. We are not affiliated with Facebook, Instagram, or Meta, and we are not affiliated with, endorsed by, or acting on behalf of any hospital, health system, employer, or facility. References to workplace systems in the Systems hub are for navigation only and do not imply any partnership with those companies.

2.8 The service is provided “as is”

SysNurse is provided on an “as is” and “as available” basis, without warranties of any kind. We work hard to keep the community safe and running, but we do not guarantee uninterrupted service or that content posted by members is accurate or complete. To the fullest extent allowed by law, our liability arising from use of the service is limited to the amount you paid us for the service (which, for a free account, is zero).

2.9 Changes to these terms

We may update these terms from time to time. Material changes will be posted here and noted in the app. Continuing to use SysNurse after changes take effect means you accept the updated terms.

3. Patient Privacy & Safety Rules

This is the heart of SysNurse. Our community exists because nurses can speak freely here — and that only works if patients are protected absolutely. Every member agrees to these rules when joining, and they apply to every post, photo, comment, story, and message in the app.

NEVER post patient-identifying information, including:

• Patient names, initials, or nicknames

• Faces or any photo of a patient

• Room numbers, bed assignments, or unit + date/time combinations that could point to a specific patient

• Charts, screens, wristbands, whiteboards, paperwork, or monitor readouts

• Photos of wounds, injuries, or procedures where any detail could identify the person

• Stories with enough specific detail — a rare condition, an unusual event, an exact date — that someone could figure out who the patient is

3.1 Clinical discussion

Clinical discussion is welcome when it is fully de-identified and educational: talk about the condition, the skill, the lesson — never the person. Change or omit details that are not needed for the lesson. If a post needs a photo, it must contain no patient, no identifiers, and no location metadata (uploads are stripped of EXIF/GPS data, but that is a backstop, not permission). When in doubt, do not post it — ask a moderator first.

3.2 Violations

Content that violates these rules is removed. Violations can also lead to a warning, suspension, or a permanent ban — and for patient-privacy violations, removal may happen on a first offense. Members who see a violation should report it in the app rather than sharing it further.

3.3 What SysNurse is — and is not

SysNurse is a peer community. It is not a HIPAA-covered service for patient care, it is not part of any employer's systems, and it must never be used to store, transmit, or look up patient information. Nothing about this app changes your obligations: you are responsible for following your employer's policies, your state board's rules, and the law — including HIPAA where it applies to you — at all times. When employer policy and these rules differ, follow whichever is stricter.

4. Not Medical Advice

Everything in SysNurse — posts, comments, clips, and answers from community features such as Ask SysNurse — is peer discussion and general education shared by members. It is not medical advice, and it is not a substitute for your clinical judgment, your employer's protocols and policies, your facility's chain of command, or official drug and clinical references.

Never delay or change patient care based on something you read in this app. In any urgent or uncertain situation, follow your employer's protocol and escalate through your chain of command.

6. Manuals, Quick Guides & Trademarks

6.1 Quick guides are summaries, not manuals

The “Manuals & Quick Guides” in the Systems hub are short, original summaries written by nurses and EMS clinicians, in our own words, as a convenience for refreshing the basics. They are not official documentation, they are not published or approved by the vendors whose systems they describe, and they are not a substitute for your employer's official manuals, training, competencies, and policies. If a quick guide and an official manual or employer policy ever differ, the official manual and your employer's policy govern — every time.

6.2 Trademarks belong to their owners

Every system, product, and company name that appears in the Systems hub, in a quick guide, or anywhere else in SysNurse — including Epic, BD Pyxis, PointClickCare, Vocera, ZOLL, and the many other names listed there — is a trademark of its respective owner. SysNurse claims no ownership of, and no rights in, any of those names or marks.

6.3 Independent and not endorsed

SysNurse Community is an independent community. We are not affiliated with, sponsored by, or endorsed by any vendor named in the Systems hub or the quick guides, and no vendor has reviewed or approved our guides. Where a guide links out, the link leads to that publisher's official site, provided so you can go straight to the real documentation.

7. Ownership & Intellectual Property

7.1 Owned by Cliff Stearns Jr.

SysNurse Community — the app itself, its software and code, its design and layout, its original text and guides, and the SysNurse name and brand — is owned by Cliff Stearns Jr. of Jacksonville, Florida. All of the app's coding, design, and original content belong to him.

7.2 All rights reserved

All rights are reserved. No part of SysNurse — its code, design, layout, text, guides, or brand — may be copied, reused, or redistributed, in whole or in part, without the owner's written permission first.

7.3 What this does not change

Two things stay exactly as stated elsewhere on this page: you keep ownership of the content you post (see Section 2.4), and the system and product names listed in the Systems hub remain trademarks of their respective owners, with no affiliation or endorsement (see Section 6.2).
